Chichester Westgate Triathlon Club Annual General Meeting

23rd October 2009 at Westgate Leisure Centre

Present: Chan, Persephone, Jason, Rob, Adrian, Mike, Gareth, Andrew Sweet, Rose, Rebecca, Dave, Keith, Stuart, John, Brian, Steve H, Trudy, Andrew Soppit, Ray, Matt, Del, Lora, Mary, Hermione, Beth, Mark, Will, James.

  1. Adrian (acting chairman) Welcomed every one to the 2nd AGM meeting, the clubs growth has been amazing and beyond all his exportations over its 1st year and now reached 90 members. Adrian wanted to congratulate the GB age group athletes for representing their club and country at the European and World Championships this year, and suggested that this was these people who were the inspiration of the club but during the year there had been a huge swell of people who joined the club who were beginners which was in essence the reason for the clubs development.
  2. There was an email that has been sent to Adrian commenting on how successful the club has been and that Adrian, Mike and Jason should be proud of what has been a fantastic 1st year with all there hard work. The email then went on to say how the club session have been so motivating and made them feel so welcome and enjoyable, which there look forward to racing as a CWTC members next year.
  3. Adrian explained the committee member’s election process.
  4. Committee members elected where: Secretary - Jason, Chairman - Adrian, Vice Chairman - Mike, Treasurer - Chan, Swim coordinator - Tom, Bike coordinator - Brian, Run coordinator - Dan, Web master - Gareth, Media reporter - Will, Junior section - Rob, and Club Clothing - Persephone.
  5. Treasurer’s report by Chan said ‘the club has just started to break even on the swimming pool hire as numbers now are good and are coming regularly’. The junior section is doing well finically with the local council grants being made available and future grants will be applied for. Chan raised a matter of concern that people still owe the club money for swim session, a policy of NO money, NO swim will be enforced form now on. Adrian pointed out that the yearly membership cost also helps to pay for the hire of the swim lanes so we can keep the cost of the session down.
  6. Swim Coordinator Tom was not present so Adrian read out the points Tom wanted to make. We will be looking into more lanes on a Thursday and Tuesday session if numbers stay up and are regular. The swim lane session will be structured to build up fitness for particular events like Chichester Triathlon and qualification race for next year. The committee and all of the CWTC members present wanted Tom to know what a fantastic job he has done and his hard work has been noticed and feed back from the session has been excellent so well done Tom.
  7. Bike coordinator Brian will be structuring the Sunday rides to make sure the riders all start and finish as a group and is inclusive for all members. Brian will be looking to setting up a Saturday ride for the less experienced riders to work on getting them to progress to the Sunday rides. Bike set up and maintenance workshops will be arranged for any of the CWTC members.
  8. Matt asks the question will any of the session work on technical and training on a bike, Jason said ‘Yes we will look to run some technique and training session for the CWTC members’.

    To find out what the members of the CWTC would like to see happen in the club not just in training session but races and any other areas to work on, the committee will be producing a questionnaire for club members to fill out.

    Laura raised a point ‘can you go on the Sunday ride if you only have a mounting bike’, Brian said ‘yes but the mounting bike would need to have road tires on and if you feel you have not got the fitness level or confidents to ride as a group then when the Saturday session start that would be a way to build up your skills first.

    There was some feeling with the CWTC members that the Sunday ride are scary, so Brian’s new structure will help improve the rides and make them more popular with all abilities.

    A CWTC member raised the point if raining is there still going to be a ride? Jason replied ‘No if raining or icy at the start of the group ride due to rider’s safety’.

    Some of the CWTC members asked about tract riding session in the area, Mike replied ‘on a Wednesday and Friday evening in Portsmouth but these are for the more confident and able riders. However during the tri season Thursday evening time trials are an excellent ride’, see CWTC website for more information.

    The club is thinking of running a spinning class for just CWTC members, cost will be around £1.50 per person and need a minimum of 20. Jason asked the CWTC members to show hands to see who would be interested 15 out of 26 voted yes. Will come up with the idea for a block payment for the spinning, which the committee will look into.

  9. Run coordinator Dan mentioned that he has a regular group that turn up for the run session on a Monday evening, which are doing very well but he need more to make some of the run session work. The sessions are for all abilities not just the fast runners! CWTC member asked if the committee would look into running the session on a different night or may be a morning session. This would be added to the questionnaire that the run coordinator would produce. CWTC members asked if the run set could be put onto the web site like the swim sets.
  10. The CWTC members and committee thanked Dan for this excellent run session the hole group that have been turning up have all felt improvements, well done Dan.

  11. The junior section was started by Rob on the 15th Sep and run’s 2 sessions a week, swim on a Tuesday and a bike session on a Saturday. Ages range from 8-15 with about 20 juniors turning up to the sessions. Rob would like some help form the CWTC members on the Saturday bike session as he is going to need to split the ages up, because the 14-15 ability is much higher than the 8-10. Please contact Rob or Adrian if you are interested in helping out contact details are on the web sit under junior section. Adrian thanked Rob for the excellent session and any one can see the enjoyment form the junior’s faces at the session.
  12. Web master Gareth would like to know if any one that has any ideas or information that would be good to put on the web site please let him know. The web site is updated every week so make sure you all keep an eye on the changes. Gareth is going to try and get the group forum going again so CWTC members can inform each other about anything in the world of triathlon, and in particular the setting up of a site that was easy to update to let other club members when they were training so that others could join in and hopefully get smaller groups training together.
  13. There is going to be a second Pyrenees trip at the end of March for the ones that want to work very hard, if you are interested contact Adrian.
  14. CWTC member Matt asks about videoing in swim session, Mike replied ‘we are looking into it at the moment but have some problems as we can’t if there are members of the public in the pool at the same time. But we are working on a way around it and we will keep you all posted on the developments’.
  15. Media report from Will mentioned that we have had a good year with articles in Tri 24, Tri world, Tri 220, local paper, and local radio. We are going to try and keep pushing the PR on the Club and if any of the CWTC members have any stories or big events there going to doing please let Will know. The next big PR push is going to be the junior section.
  16. Chichester Triathlon 2010 will now see a new event called Try a Tri with shorter distance and a Para Triathlon wave. The Junior Aquathon will now be on the Saturday as they hope to attract a larger number for next year event.
  17. Club clothing has been looked at by Persephone with a leisure top costing about £15-20. We are going to try and keep with the club colours black and red like the tri suits. CWTC members would like to see the logo big on back of the leisure tops and Will said ‘if the website can go on the tops like the tri suits’. The CWTC members would like to see an option for a cheaper tri suit. This is possible but the quality and comfort will drop. CWTC swim hats are being looked at the moment with a sponsor. Any one wanting to order a leisure top of tri suit please contact Persephone.
  18. Race Agenda for next year will be posted on the website as soon as the BTF have updated there calendar. Any of the CWTC members that have a race that they would like to see in the club championship please let Mike know and then the committee members will make a decision.
  19. Tom and Laura are organizing a Christmas bash on the 5th December, only 50 tickets availably first come first server. Cost is £30 per head food and entertainment will be provided plus the 2009 Club awards will be presented. Speak to Tom or Laura for more information.
  20. Two CWTC members have been nominated for the local chi observer awards so keep an eye out in the local paper.
  21. Mike made a point that whenever you enter an event make sure you put down your Club as ‘Chichester Westgate Triathlon Club’ to boost the clubs reputation and status. At the most of the Concept Sport races CWTC was the most represented club.
